About the position

193, a Legendary Company is seeking an Assistant to support the CEO and the EVP, Creative Affairs and perform general administrative duties for the company. This is an extremely busy and high-profile desk that requires acute attention to detail, as well as strong communication, multitasking, and time-management skills. The ideal candidate is a superstar and true self-starter who is articulate, organized, and enthusiastic on a day-to-day basis and a voracious reader and constant consumer of film and television with a fun, proactive, positive attitude. This is an exciting opportunity for someone who is interested in both the Creative and Business sides of Film, including development, production, financing, and international sales, and who is eager to work closely with talent, filmmakers, producers, financiers, and international distributors. The position offers exposure to an expanding slate of films at a growing production and international sales company. Candidates should have at least one to two years of paid Executive Assistant experience at a major studio, agency, production company, management company, or international sales company. Duties include both administrative and creative responsibilities, supporting the executives while also contributing to the company’s broader production and sales slate.

Responsibilities

  • Provide comprehensive administrative support to the executives including but not limited to: rolling and fielding a heavy volume of calls; managing calendars; scheduling calls, meetings, screenings, and meals; maintaining contact lists; coordinating travel and itineraries; securing reservations and event tickets; and preparing expense reports.
  • Manage the administrative and logistical aspects of major international film markets and festivals, including Cannes, Toronto, AFM, and EFM. Responsibilities include coordinating meetings and meals for executives with foreign distributors, producers, and other industry partners; consolidating the daily 193 team calendar; arranging transportation and accommodations; tracking RSVPs for 193 events.
  • Maintain internal project status documents; record notes and transcripts of project-related calls; and track assignments, action items, reminders, and follow-ups.
  • Watermark and distribute scripts, screeners, and other confidential materials to agents, managers, producers, potential partners, and foreign distributors.
  • Draft, take dictation for, and proofread project-related correspondence on behalf of the executives.
  • Greet and interact with talent and industry partners with a positive and helpful attitude.
  • Perform additional administrative and operational duties, including data entry, arranging signatures, tracking corporate payments, ordering office supplies, and preparing conference rooms.
  • Read script and book submissions; prepare coverage reports for executives.
  • Handle high-level confidential information in a discreet and professional manner.

Requirements

  • Must have at least 2 years of Executive Assistant experience at a major studio, agency, production company, management company, or international sales company
  • Knowledge of the entertainment industry including talent and key players
  • Looking for someone who is a self-starter with a sharp attention to detail and ability to prioritize with minimal direction and multiple projects in motion at a time
  • Must be able to quickly acclimate to a fast-paced environment and be able to anticipate needs; following through on all tasks through completion
  • Candidates must be able to assume the role with ease and not need to be trained in the basics of being an assistant
  • Willingness to work as needed and complete all tasks and responsibilities with a positive attitude.
  • Proficiency in Microsoft Office Suite
  • Professional attitude and appearance on a daily basis
  • Strong written and verbal communication skills, ability to be resourceful and proactive when issues arise, excellent organizational skills, strong multitasking and time-management skills
  • Tech savvy and be able to assist heavily with media management and organization
