Job Description:

  • Monitor and organize the owner's business inbox
  • Clear routine clutter and maintain the client's existing inbox organization
  • Identify messages requiring immediate attention
  • Flag outstanding emails or messages requiring owner action
  • Draft or send basic routine emails when appropriate
  • Help ensure important communications are resolved
  • Monitor designated client account inboxes
  • Identify incoming supplier invoices
  • Forward invoices to the appropriate bookkeeping software using designated email addresses
  • Maintain an organized process for incoming financial documents
  • Identify missing or unusual documentation for internal review
  • Review supplier statements against records in Xero
  • Confirm invoices on supplier statements have been entered correctly
  • Review customer remittances
  • Mark applicable invoices as paid using the correct payment date
  • Assist with basic transaction cross-checking and reconciliation-related administrative work
  • Flag discrepancies for review
  • Monitor client identification records and expiration dates
  • Help ensure required client risk assessments are completed at established intervals
  • Follow documented internal compliance procedures
  • Maintain accurate records and trackers
  • Assist with recurring anti-money-laundering and client-administration requirements
  • Complete additional executive and practice-administration tasks as assigned
  • Provide task-specific business support services to improve client efficiency, service delivery, and operational functions
  • Report to a point of contact to be determined

Requirements:

  • Previous bookkeeping, accounting administration, or finance-support experience strongly preferred
  • Xero experience strongly preferred
  • Previous email and inbox-management experience preferred
  • Strong written English required
  • Experience reviewing invoices, supplier statements, and remittances preferred
  • Strong attention to detail required
  • Executive assistant or administrative support experience is a plus
  • Experience working with UK businesses or accounting practices is a plus
  • Understanding of confidential financial-data handling required
  • GDPR familiarity preferred; training can be provided where necessary
  • Extremely organized and detail-oriented
  • Comfortable working independently from established procedures
  • Reliable with repetitive, deadline-driven work
  • Able to identify discrepancies and flag them appropriately
  • Strong follow-through
  • Comfortable handling confidential client and financial information
  • Able to proactively tell the owner what requires her attention
  • Knowledge of Xero
  • Knowledge of Microsoft Outlook / Email Platforms
  • Knowledge of Microsoft Teams
  • Knowledge of Microsoft Excel / Google Sheets
  • Knowledge of Microsoft Office / Google Workspace
  • Knowledge of Remote Desktop Systems
  • English language proficiency; strong written and spoken English required
  • Availability Monday through Friday during early morning UK time, with schedule to be mutually agreed in writing
  • Must operate under a Master Services Agreement and Statement of Work as an independent contractor
  • Must comply with applicable timelines, guidelines, and written deliverables
