Bookkeeper - Freelance/Self Employed - Holiday Property Specialist

Location: Remote (UK-based)

Contract Type: Self-Employed / Freelance (Ongoing monthly retainer)

Hours: Approx. 10–15 hours per month on average 12 hours

About Us

We manage 14 high-quality holiday let properties in Falmouth Cornwall . We use SuperControl as our property management and booking platform, which integrates directly with Xero for our financial management. We are seeking an organised, tech-savvy, self-employed bookkeeper to take ownership of our day-to-day accounts and keep our portfolio running smoothly.

Key Responsibilities

  • System Integration: Manage and troubleshoot the automated data sync between SuperControl (or similar channel managers) and Xero.
  • Bank Reconciliation: Reconcile guest transactions, including split payments, security deposits, booking extras, and refunds.
  • Channel Management: Accurately reconcile gross booking revenue against net payouts from third-party channels (Airbnb, Booking.com, Vrbo).
  • Multi-Property Tracking: Maintain Xero Tracking Categories for all 14 individual properties to ensure accurate, property-by-property Profit & Loss reporting.
  • Contractor & Expense Management: Process supplier invoices, utility bills, and payments for changeover cleaners and maintenance teams.
  • Payroll Management: Process monthly payroll for our one member of PAYE staff including quarterly submissions to HMRC and pension management.
  • Prepare quarterly statements – for the individual Owners
  • Compliance: Prepare and submit quarterly VAT returns and ensure records are tax-ready for our accountant.
Required Experience & Skills
  • Xero : Advanced, demonstrable experience managing Xero workflows.
  • Holiday Letting Expertise: Good understanding of the short-term rental market, hospitality booking structures, and holiday let expense rules.
  • Tech-Literate: Direct experience with SuperControl is highly desirable. Experience with similar holiday booking systems (e.g., Guestline, Hospitable, Mews) combined with strong API mapping skills will be considered.
  • Detail-Oriented: Able to spot and correct discrepancies in automated channel payouts and commissions.
